Privacy Policy

We collect information you provide when you create an account, manage search profiles, subscribe, contact us, or use Renthaven. This includes your name, email address, search criteria, notification preferences, reply templates, billing metadata and support messages.

We also process authentication activity, push device tokens, cookie preferences and first-party events such as viewing listings, editing searches, visiting pricing, starting or resuming checkout and clicking our campaign links.

We use your data to perform our agreement with you: run your account, match listings to search profiles, provide the Free feed and paid features, administer payments, and support you. Legal obligations apply to billing records. Security and service improvement may rely on our legitimate interests, subject to your rights.

We do not guarantee that a listing is available or that you will find a home. Search criteria are used to compare rental listings; push tokens enable requested notifications.

At registration we visibly explain our promotional email campaign and provide a free, unchecked refusal option. For qualifying Free rental-search registrations, we rely on the exception for our own similar services: Free and Premium form the same rental-search service. We record the notice version, collection time and whether you refused. This is recorded separately from explicit marketing consent. Existing users join only if they previously gave recorded consent; an account alone is insufficient.

The campaign requires email verification. Daily match previews run for the first 14 days after registration. Search follow-ups and relevant Premium offers run until day 113, within four months. There is at most one campaign email per local calendar day. Checkout reminders can replace that day’s email. Missed messages are skipped. We stop after a purchase, refusal, unsubscribe, complaint, hard bounce, housing-found confirmation or loss of eligibility. Your Free feed remains available after previews end.

We use current search criteria and matching listings, account age, email verification, subscription history, checkout status and first-party account activity to choose the timing and relevant content. Discount links are personal and have real deadlines. Necessary account, security and billing messages are separate from these promotional emails.

Where the own-similar-services exception applies, related personal-data processing relies on our legitimate interest in helping rental-search users understand our own Premium service, balanced against the limited duration, frequency, relevant content and easy refusal. Where we rely on explicit consent, you may withdraw it. Accepting terms, accepting cookies or merely holding an account does not constitute marketing consent.

We use Postmark to deliver email, including our broadcast campaign. It receives recipient details, email content and delivery metadata. We retain first-party delivery, bounce, complaint, unsubscribe and campaign-link click records to enforce preferences and measure campaign performance. We do not need cookie acceptance to deliver an email for which there is a separate valid permission basis.

We also use providers for payments, hosting, maps, push notifications, analytics and infrastructure. Payments are handled by our payment provider; we do not store full card details. PostHog receives permitted product and campaign events under our analytics preferences. Non-essential analytics and advertising cookies remain subject to cookie choices.

Providers may process data outside the European Economic Area. Where required, transfers use an adequacy decision or appropriate contractual safeguards. Contact privacy@renthaven.nl for information about applicable safeguards and processors.

Essential cookies support login, security and consent preferences. Non-essential analytics and advertising technologies use the consent preferences shown on the site where required. Cookie permission is distinct from email permission.

We keep account data while needed to operate your account, provide support and meet legal obligations. Account-level refusal, unsubscribe, bounce and complaint suppression remains while your account exists.

We remove campaign targeting events and feedback 180 days after completion or suppression and clear targeting details from delivery records. We keep minimal permission and delivery evidence for five years after the last marketing email, including the notice version, permission time, message type, send time and suppression or delivery outcome. Issued offers linked to billing are preserved under the existing billing retention requirements. Other expired, unclaimed offers are removed after the targeting retention period. Billing records follow statutory retention requirements.

You may request access, correction, deletion, restriction or portability where applicable. You can object to direct marketing at any time, free of charge, and withdraw explicit consent without affecting earlier lawful processing. Every campaign email includes an unsubscribe link and supports one-click unsubscribe. Refusal stops the whole campaign; necessary account messages may continue.

Contact privacy@renthaven.nl to exercise your rights, including objection to marketing profiling. You can also complain to the Dutch Autoriteit Persoonsgegevens. Account deletion remains subject to applicable legal retention duties.

We use technical and organizational safeguards to protect personal information. Keep your credentials private and use a strong password.
